Terms and Conditions

Effective Date: March 2026

1. Introduction

These Terms and Conditions cover all sales of products and services by Sym-Z Workspaces, a trading name of Sym-Z CompUtec Ltd, to the purchaser. By placing an order or requesting a service, the Buyer agrees to be bound by these terms.

2. Order Acceptance

All orders and service requests placed by the Buyer are subject to acceptance by Sym-Z Workspaces. Sym-Z Workspaces reserves the right to reject any order or service request at its sole discretion.

3. Quotations

All quotations provided by Sym-Z Workspaces are valid for 60 days from the date of issue, unless otherwise stated in writing. After this period, prices and product availability may be subject to change. A new quotation will be issued upon request.

4. Discounts and Pricing

    a. Discounts: Any discounts applied to a purchase are valid only per the terms specified in the sales agreement or promotion. Discounts are not transferrable or refundable and may be subject to certain conditions such as minimum order quantities or deadlines.

    b. Pricing: All prices are as stated in the quotation or order confirmation at the time of order placement. Prices may be subject to change without prior notice unless otherwise agreed upon in writing.

    c. VAT: All prices are subject to VAT at the prevailing rate where applicable. VAT registered businesses will receive a full VAT invoice upon completion of the order.

5. Payment Terms

    a. Deposit: A non-refundable deposit of 20% of the total order value is required from new customers placing their first order. This deposit secures the order and confirms the Buyer’s commitment to the purchase. The deposit requirement may be waived at the discretion of Sym-Z Workspaces.

    b. Final Payment: The remaining balance is due upon delivery and installation of products. Final payment must be made in full before or upon receipt of goods. Payment must be made via the agreed payment method.

6. Ergonomic Assessment Services

    a. Free Assessment: Ergonomic assessments are provided free of charge. There is no obligation to purchase any products as a result of an assessment.

    b. Assessment Process: Each assessment involves a private discussion regarding current working conditions, any discomfort experienced and a review of the existing workstation setup. Clear and practical recommendations are provided following the assessment.

    c. Written Report: A full written assessment report is provided following each assessment. This report details observations made, recommendations for improvement and where applicable, suggested products or equipment to support better ergonomic working conditions.

    d. Equipment Recommendations: Where appropriate, recommendations may include furniture, seating, peripherals and other equipment. Recommendations are made solely on the basis of need and suitability. Sym-Z Workspaces does not upsell products that are not required.

    e. Data Handling: Personal information and health related details discussed or noted during an assessment are treated with strict confidentiality. This information is used solely to produce the assessment report and recommendations and will not be shared with third parties without consent.

    f. Limitation: Ergonomic assessments provided by Sym-Z Workspaces are advisory in nature. They do not constitute a formal Display Screen Equipment (DSE) assessment under health and safety legislation, which remains the responsibility of the employer.

7. Delivery

    a. Delivery Charges: Delivery charges are applied based on the size of the order, the products involved and the delivery distance. Small orders such as individual chairs delivered locally may be provided free of charge at our discretion. Larger orders, bulkier items or deliveries outside the immediate local area will incur a delivery charge, which will be confirmed at the point of quotation.

    b. Delivery Timeframes: All delivery dates are estimated and not guaranteed. Sym-Z Workspaces will endeavour to deliver within the agreed timeframe and will communicate any delays promptly.

    c. Third Party Delivery: For larger orders and items, delivery may be arranged through trusted third party drivers. Customer delivery details will be shared with these parties solely for the purpose of fulfilling the delivery.

    d. Inspection on Delivery: The Buyer is responsible for inspecting all items upon delivery. Any visible damage or discrepancies must be reported to Sym-Z Workspaces within 48 hours of receipt.

8. Installation

Where installation is required, Sym-Z Workspaces will coordinate delivery and professional installation to ensure products are fitted correctly and ready for use. Installation services will be confirmed and agreed at the point of quotation.

9. Returns and Refunds

    a. Returns Policy: Returns are subject to the individual manufacturer’s returns policy for the product concerned. As the majority of our products are supplied to order, standard 14 day consumer returns do not apply to commercial orders. Domestic customers should enquire about specific return terms at the point of purchase.

    b. Defective Products: In the event of a defect or damage upon delivery, the Buyer must notify Sym-Z Workspaces within 48 hours of receipt. Sym-Z Workspaces will liaise with the relevant manufacturer to arrange repair, replacement or refund as appropriate.

    c. Non-Refundable Deposit: The initial deposit is non-refundable in the event of cancellation by the Buyer once an order has been placed with the supplier.

10. Warranty

All products supplied by Sym-Z Workspaces carry the manufacturer’s warranty applicable to that product. Warranty terms vary by product and manufacturer and will be confirmed at the point of sale. In the event of a warranty claim, Sym-Z Workspaces will manage the process on the Buyer’s behalf, liaising directly with the manufacturer to facilitate repair or replacement.

11. Cancellations

    a. Buyer Cancellation: Once an order has been placed and confirmed by Sym-Z Workspaces, it cannot be cancelled. The majority of products are made to order and are processed immediately with the manufacturer upon confirmation. The non-refundable deposit will be retained in all cases.

    b. Sym-Z Workspaces Cancellation: In the unlikely event that Sym-Z Workspaces is unable to fulfil an order, every effort will be made to source a suitable alternative product that meets the Buyer’s requirements. If a suitable alternative cannot be obtained, the Buyer will be notified promptly and any deposit paid will be refunded in full.

12. Limitation of Liability

Sym-Z Workspaces’ liability is limited to the total amount paid by the Buyer for the specific products or services involved in any claim. Under no circumstances will Sym-Z Workspaces be liable for any indirect, incidental, special or consequential damages including lost profits or business interruption.

13. Changes to Terms and Conditions

Sym-Z Workspaces reserves the right to modify these Terms and Conditions at any time. Any changes will be posted on the website or provided to the Buyer in writing. Continued use of services following such changes constitutes acceptance of the revised Terms and Conditions.

14. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Entire Agreement

This agreement constitutes the entire understanding between Sym-Z Workspaces, a trading name of Sym-Z CompUtec Ltd, and the Buyer concerning the sale of products and services, and supersedes all prior communications whether written or oral.
